Keeping insurance and account information findable

An organizing checklist for where information is kept, without trying to explain coverage or benefits.

For planning only.CareKeeper helps organize notes and printable pages. It does not replace medical, legal, tax, insurance, benefits, or emergency advice.

Write down where things are, not what they mean

Insurance cards, policy numbers, account logins, and billing notices tend to get asked for at stressful moments. A locator page tells helpers where to find the right folder, card, or phone number.

CareKeeper does not explain coverage, eligibility, claims, or benefits. Those questions belong with the insurer, employer, agency, or professional helping your family.

Start with the items people request most often

You do not need to build a perfect archive before the locator is useful. A first pass can be one page with the handful of things people keep asking for.

  • Insurance cards and member numbers
  • Pharmacy phone number and preferred location
  • Primary doctor, hospice, or home health contact information
  • Where bills, notices, and unopened mail are kept
  • Where advance directive or power-of-attorney papers are stored, if they exist

Keep passwords off shared paper when possible

A locator sheet can say 'password manager on Mom's phone' or 'sealed envelope in desk drawer' without listing passwords where every visitor can see them.

If your family has a safer password-sharing process already, use that. The binder can point to the process without replacing it.

Review the page after big changes

Update the locator after a new insurance card arrives, a provider changes, or mail starts going to a different address. Old account information creates more work than a blank line.
